This policy applies to visitors, registered candidates, employers, recruiters, and anyone who interacts with the Services. If you apply for a job through Job Near Me, the employer you apply to may also be an independent controller of your application materials.

For UK data protection law, we are the controller of personal data processed through the Services, except where we act as a processor on behalf of an employer (for example, when handling application materials on an employer’s instructions).

3. Your role on the platform

The data we collect depends on how you use Job Near Me:

4.1 Information you provide

  • References: where a referee submits a reference, we collect their name, contact details, employment relationship, and reference content.
  • Payment data: billing details and transaction records. Card details are processed by Stripe; we do not store full card numbers.
  • Waitlist and alerts: email address and interest if you join our launch waitlist or subscribe to job alerts. We use these only to send service messages about Job Near Me launch access or matching job alerts — not for third-party marketing lists.

4.2 Information from third parties

We apply automated redaction to remove common personal identifiers before some AI processing, but you should not rely on redaction to remove all sensitive information from free-text content.

We rely on one or more of the following, depending on the activity:

  • Contract: to provide the Services you sign up for (for example, managing your account, applications, or employer subscription).

6. How we share information

6.1 With other users

  • Employers and recruiters involved in a role can see application materials you submit for that role.
  • Candidate contact details (email and phone) are not shown to employers until a hire is recorded, unless you choose to share them another way.
  • If you enable a public profile, parts of your CV may be visible at your public URL or in search, according to your settings.
  • Chat participants can see messages and attachments you send in that conversation.

6.2 With service providers (processors)

We use trusted providers who process data on our instructions, including:

  • Stripe — payments, subscriptions, and Connect payouts;
  • Google — sign-in, Maps, reCAPTCHA, and Calendar integration;
  • Meta (Facebook), LinkedIn, and X — optional social sign-in;
  • Firebase (Google) — push notifications;
  • Cloud storage providers — hosting uploaded files such as CVs, documents, and media;
  • Stream — voice and video calls;
  • AI and speech providers — including configurable AI backends and OpenAI Whisper for speech-to-text in mock interviews;
  • Email delivery providers — transactional email;
  • Tawk.to — optional live chat / support widget (loaded only after you accept non-essential cookies);
  • Infrastructure and observability providers — hosting, queues, and error monitoring where enabled.

We require processors to protect personal data under contract and only use it as we instruct.

6.3 Other disclosures

  • Where required by law, court order, or regulatory authority.
  • To protect the rights, safety, and security of Job Near Me, our users, or others.
  • In connection with a merger, acquisition, or sale of assets, subject to appropriate safeguards.

7. International transfers

Some of our service providers (including AI and speech providers such as OpenAI Whisper via Prism backends) may process data outside the United Kingdom, including in the United States. Some information may remain in backups for a limited period or where retention is required by law. Application materials shared with employers may remain under the employer’s control.

  • Download your data: use “Download my data” in your profile or account settings (or email us if you need help).
  • Delete your account: use the account deletion option in your profile or account settings. Your account enters a cooling-off period (default 90 days) during which you can cancel. After that we anonymise personal data we no longer need; application status history may remain for employers in anonymised form; employers may retain materials they already received; billing records may be kept where required by law.
  • Notification preferences: manage email, push, and in-app notifications in your settings.
  • AI tools: mock interviews and profile AI reviews require your acceptance before we send content to AI providers. You can withdraw by stopping use of those features and requesting deletion.

10. Security

We use technical and organisational measures to protect personal data, including encryption for sensitive fields (such as recruiter bank details and calendar tokens), access controls, and secure file storage. No method of transmission or storage is completely secure; please use a strong password and enable two-factor authentication where available.

11. Children

The Services are intended for people who can lawfully work or hire in the United Kingdom. We do not knowingly collect personal data from anyone under 16. If you believe a child has provided us with personal data, contact us and we will take appropriate steps to delete it.

12. Changes
